Our Professional Methodology

A professional commercial inspection is more than a walkthrough—it is a systematic evaluation of the building and its major systems. Our process is designed to help owners, investors, and stakeholders understand risks, maintenance needs, and long-term building performance with confidence.

Fee Quotation & Scope Definition

The process begins with an initial request for a proposal, where basic property data—such as building size, age, use, and location—is collected alongside high-level objectives. Based on this information, a formal proposal and fee quotation are generated, outlining the standard scope of work, estimated timeline, and core cost parameters. This initial agreement establishes the contractual foundation required to dedicate resources to the project, while explicitly noting that the final scope remains subject to mutual validation based on subsequent project discoveries.

From Initial Assessment to Actionable Insights

  • Phase 1: Initial Project Consultation
    Following authorization, a dedicated project kickoff occurs via phone or email to discuss the specific property in greater depth, identify immediate client concerns, and finalize critical timelines. During this phase, the process involves delving into the property’s operational history and reviewing available existing documentation—such as past reports, maintenance records, or building plans—to fully understand its baseline condition. This collaborative approach ensures that the upcoming physical assessment strategy is precisely tailored to each client's specific investment goals, risk tolerance, and operational needs.
     

  • Phase 2: Pre-Inspection
    Prior to arriving on-site, a comprehensive desktop review of publicly available information and property-specific data is conducted to establish a baseline understanding of the building. This phase involves analyzing county assessor data, building permit records, and satellite imagery to verify construction types, square footage, historical occupancies, and general site conditions. To complement this data, a pre-inspection questionnaire and an additional document request list are transmitted to the client or site contact at the conclusion of this research. The completed questionnaire is required prior to the site visit to guide the inspection strategy, while the requested records are compiled by the site contact to be made available for review during the subsequent on-site phase. This advanced preparation ensures the physical walkthrough focuses immediately on high-priority areas and potential system vulnerabilities.
     

  • Phase 3: Scope Validation & Proposal Adjustment (As Needed)
    In the majority of assessments, the project moves directly from research to the physical walkthrough without modification. However, if the preceding consultation or preliminary research reveals specialized mechanical systems, unrecorded structural complexities, or unique client requests that alter the baseline agreement, a formal scope validation occurs. This conditional phase serves as a mutual review point where both parties agree to any necessary adjustments to the scope of work or pricing before field operations commence, ensuring absolute transparency and alignment.
     

  • Phase 4: Logistics & Coordination
    To ensure a seamless assessment process with minimal operational disruption, comprehensive logistics coordination is managed prior to the field deployment. This phase involves scheduling the inspection timing and coordinating site access with property owners, tenants, listing brokers, or facility personnel as required. Clear communication protocols are established with all involved parties to guarantee unobstructed access to all critical building systems, mechanical rooms, secured areas, and structural components. This proactive preparation minimizes downtime and allows the physical walkthrough to be executed efficiently and discreetly.
     

  • Phase 5: Comprehensive On-Site Inspection/ Visual Assessment
    The field operations begin with an initial on-site orientation walkthrough and an interview with the property manager, owner, or individual possessing the deepest operational knowledge of the site. This onboarding process includes a localized review of requested on-site documents, such as recent maintenance logs or utility records. Following this initial orientation, a comprehensive, detailed visual inspection of all safely accessible building systems and components is conducted to evaluate the property's overall physical integrity. The field assessment systematically covers primary asset elements, including the roofing systems, structural components, HVAC and mechanical systems, electrical distribution, and plumbing and other site-specific infrastructure. Additionally, a close evaluation of the building envelope, interior finishes, and surrounding site and drainage conditions is performed, establishing a thorough and verified field dataset for subsequent analysis.
     

  • Phase 6: Findings & Condition Review
    Following the fieldwork, all gathered data, field notes, and digital documentation undergo a comprehensive analysis and evaluation. This phase involves synthesizing the on-site observations to accurately categorize significant deficiencies, deferred maintenance items, and notable material concerns. By systematically evaluating these findings, the process pinpoints critical vulnerabilities and operational conditions that require either immediate corrective action or long-term capital planning attention. The focus of this review is to translate raw field data into actionable insights, providing a clear understanding of the overall building condition, potential investment risks, and priority issues.
     

  • Phase 7: Detailed Digital Report Delivery
    The process culminates in the compilation and delivery of a professional, comprehensively organized digital report that serves as the definitive record of the assessment. This formal document integrates detailed photographic documentation with a system-by-system breakdown of all findings, clearly outlining current maintenance needs and material repair observations. Furthermore, where complex or specialized hidden conditions warrant deeper investigation, the report provides targeted recommendations for further engineering or specialty evaluation. The resulting document delivers a clear, actionable roadmap designed to support informed decision-making and risk management.
     

  • Phase 8: Post-Inspection AdvisoryThe professional relationship extends well beyond the delivery of the written document, ensuring complete clarity and ongoing support. After the report has been reviewed, availability is maintained for a follow-up consultation to clarify any specific findings, discuss technical observations, and answer outstanding questions. This advisory phase ensures a thorough understanding of the documented conditions and provides professional support as decisions are made regarding negotiations, capital planning, or next steps in the transaction process.
